Big Speaker vs. Smart Speaker vs. Installed Audio: How to Choose for Your Business

“Can you just tell me which speaker to buy?” That’s the question I hear most often from colleagues and clients. I’ve managed purchasing for fitness and entertainment venues since 2020, which means I have signed off on enough audio gear to fill a small warehouse. I’ve also broken enough of it to know the answer is rarely a model number. It depends on the space, the schedule, and who has to press the buttons. If that sounds like a non-answer, keep reading. I’ll walk you through the three scenarios I see most often, what works in each, and how to tell which one you’re in.

First, forget “what is the best speaker” and ask what you are buying for

In the last five years, almost every audio request has fit one of three patterns:

  • A single, small space where atmosphere matters—a barbershop, a boutique studio, or a cafe.
  • A permanent multi-zone venue that runs different music in different areas for 10-plus hours a day, like a gym or an entertainment center.
  • A mobile operation that carries sound from site to site, such as an inflatable rental company or an event vendor.

Each pattern needs a different tool. Let’s go through them one by one.

Scenario A: The statement room, or why a Cutting Edge Barber Studio-style shop does not need an $8,000 install

A friend of mine runs Cutting Edge Barber Studio. It’s a sharp-looking shop, about 1,100 square feet with nine chairs. In 2023, an AV company quoted him $8,000 for ceiling speakers, an amplifier, a control panel, and installation. He asked me if that was the going rate. My first question back was, “What are you actually going to play?” He wanted music for haircuts, not background audio in seven zones.

So we bought the “JBL big speaker” type of unit—one of those large party speakers with wheels and a handle. That category is perfect for a single room. It fills 1,100 square feet easily, it sounds better than most entry-level in-ceiling systems at that size, and it cost $650 at the time. No installation. No wall mounts. No maintenance contract. That speaker is still running today.

One caveat: don’t automatically jump to a smart speaker for this scenario. I tested one in a client’s store, and the sound was fine. But an always-on microphone in a business raises privacy questions I had not thought about. I asked our legal contact, and his reaction was simple: “Why take the risk?” That ended the experiment. A smart speaker’s “smart” features are exactly what you pay extra for—and exactly what you would have to disable. Skip it.

If you only need music in one room, even if it is full of people, do not buy a commercial system. Buy one good speaker and keep the receipt. That’s not a compromise. It’s the right-sized tool for the job.

Scenario B: The permanent multi-zone venue, where consumer audio goes to die

Now the opposite case. Our flagship space is about 26,000 square feet: fitness floor, group exercise room, cafe, lounge, and kids zone. Each zone needs different music at different volumes. This is where Scenario A advice fails.

We tried the shortcut anyway: several big Bluetooth speakers, one per zone. It worked on day one. By day three, staff members were complaining about walking across the building just to change the volume. Then they started arguing over which zone was too loud. The unit near the cafe ran from 6 a.m. to 9 p.m. daily. It died after eight months. Consumer speakers are not designed for commercial duty cycles, and no amount of Bluetooth pairing changes that.

We tested smart speakers here too, and those were worse. Updates reset our settings. The network had dead zones, so music dropped randomly. And the final straw: a customer connected her phone and played explicit lyrics over the gym while a group class was getting started. That was the end of the experiment. A smart speaker is clever consumer technology, but in a public venue the microphone and the open connection are liabilities, not features.

What actually works in this scenario is a distributed audio system: commercial ceiling speakers on a 70-volt line, amplifiers in a locked rack, and volume controls where only employees can reach them. It’s less exciting than a giant speaker on a stand. It is also predictable and reliable for 14-hour days.

This is also where my “quote transparency” rule was born. During our 2024 buildout, the lowest base quote looked good—until I asked, “What is not included?” The list came back: cabling, mounting hardware, programming, network switch, after-hours installation. Those extras pushed the total above a competitor’s upfront all-in price. The company that listed everything from day one wasn’t the cheapest on paper. It was the cheapest in reality. Now I always ask the “what’s not included” question before I ask the price.

A quote that does not list every fee is not a quote. It is an opening guess.

Scenario C: The mobile operation, or why Cutting Edge Inflatables-type businesses should stay portable

The third pattern looks like a company such as Cutting Edge Inflatables: operators who rent bounce houses, obstacle courses, and interactive party games. Their audio system gets loaded into a van in the morning, set up in a park, and torn down at dusk. A permanently installed system is out of the question.

This is the rare case where a large battery-powered party speaker is the right professional tool. It has a handle. It does not need a generator or a wall outlet for several hours. It survives being thrown onto the back seat of a van better than rack equipment does. If the job is music for 50 to 100 people at a birthday party or a corporate picnic, one of these is enough.

Here is the counterintuitive part: don’t let an AV vendor upsell you to “proper” gear just because you run a business. The party speaker is not a toy; it is a tool with a specific job. If the operator also does event hosting, they need a microphone input on that speaker. If they provide actual DJ services, they should step up to a powered PA speaker on a stand plus a second speaker. But for bounce-house rentals, a big portable speaker is usually the whole system.

One warning about marketing numbers: the wattage printed on the box is peak wattage, not continuous output. When comparing speakers, ask how long the battery lasts at 50 percent volume and what the coverage pattern sounds like, not how many zeros are on the label.

Next question: Should you fix what you have?

I know a lot of people end up here after searching for something like “how to fix speaker on iphone.” If that is your situation, take the phone to a repair shop. It’s a straightforward consumer repair and usually worth it. Commercial speakers are a different story.

I have watched teams try to fix large speakers with the same confidence they would use on a phone speaker. It doesn’t transfer. A venue speaker has a voice coil, an amplifier, crossovers, and no repair manual written for a weekend warrior. One of our managers paid $400 to repair a $650 unit, and the same problem returned within a few months. The repair was real; the diagnosis was incomplete.

Use this rule: if the repair estimate is more than half the price of a new replacement and the unit is more than five years old, replace it. And whatever you do, get a fixed repair quote in writing before authorizing any work. A shop that won’t tell you the total until after a “diagnostic” is not being transparent. It’s fishing.

How to tell which scenario you are in

If you are reading this to make a decision, don’t spend another evening comparing specs. Ask three questions instead.

  1. How many separate areas need music at the same time? If the answer is one, you are in Scenario A. Buy one strong speaker and stop there.
  2. Does the audio have to live in one building for most of a normal business week? If yes, and you have separate zones or long operating hours, you are in Scenario B. Plan for an installed commercial system.
  3. Does the sound equipment have to move regularly? If it leaves the building, you are in Scenario C. Prioritize handles, battery life, and durability over audiophile specs.

Most people already know the answers. They just don’t want to accept them, because Scenario A is cheap and fun, Scenario B is expensive, and Scenario C feels like you are buying “consumer” gear for business use. Get comfortable with that. The right choice is the one that matches how the equipment will actually be used.

And when you collect quotes, remember my question: “What is not included?” If the vendor answers with a complete list, that’s a good sign. If they hesitate, that tells you more than any spec sheet ever will.

The lesson I keep coming back to

I don’t sell audio equipment. I buy it, repair it, and occasionally break it. The most expensive lesson I’ve learned in five years is that the least expensive option on paper is rarely the least expensive option in practice.

Transparent pricing is not just a nicety. It is the only way to compare two vendors fairly. The company that shows you every fee from the start—even when the total looks higher—is the company that will cost you less in the end. That has held true for speakers, for AV installs, and for every other purchase I manage.

So get clear on your scenario, ask the transparency question, and then buy the right size of speaker for the room. Your space, your schedule, and your budget will tell you the rest.
